Digital member management: joining, leaving, fees and communication without paper

In many clubs, member management still relies on printed forms, physical folders and spreadsheets that only their creator understands. It works while numbers are small, but in a club with thousands of members it becomes a bottleneck: fee errors, outdated records and an administrative team spending hours on repetitive tasks.

Digitising this process is not about scanning paper. At Total Management, the management software we have developed at NGM, we see it as redesigning the entire member lifecycle, from the first expression of interest to the day they leave, so that every step is recorded, traceable and creates as little workload as possible.

Why paper-based member management holds the club back

Paper has a fundamental problem: information lives in one place and is needed in another. The record sits in administration, but reception needs to know whether the member may enter; the restaurant needs to know whether purchases can be charged to their account; the academy, which students are members; and management needs to know how many members joined and left last quarter.

Every query forces someone to search, ask or copy data. Multiplied by hundreds of weekly interactions, the time cost is enormous, and every manual copy is an opportunity for error. Digital member management centralises information in a single record that every department can consult with the right permissions.

Step 1: frictionless online joining

The joining process is the new member’s first real experience of the club. If it involves printing, signing, scanning and waiting for a phone call, the impression they take away is not that of a modern club.

A well-designed digital joining process includes:

Everything is recorded with date and time, and the member immediately receives confirmation and login details for the app. In Total Management, this joining flow is part of the Management module, so the new member’s record is complete from day one and ready for every other area of the club.

Step 2: a single record for every member

The heart of member management is the member record. It should bring together personal data, category, family links, handicap where relevant, fee history, purchases, bookings, access and communications received.

When that information is unified, the team can answer any query in seconds and management has a real view of each profile. It is also the basis for more personalised loyalty actions, which we cover in our article on CRM for golf clubs.

A practical tip: clean up your data before migrating. Duplicates, old phone numbers and categories that no longer exist contaminate any new system.

Step 3: automated fees in member management

Fees are the most sensitive part because they directly affect cash flow. Digitised member management lets you define each category with its fee, frequency, discounts and surcharges, and generate bank direct debit batches automatically.

This avoids manual calculations every month, returned payments are spotted immediately and the member can be notified automatically. Mid-year category changes, pro-rata amounts and extraordinary levies approved at the general meeting also become simpler.

For the direct debit format, the reference is the SEPA scheme, the European standard for euro payments; the European Payments Council publishes the official documentation, although it is sensible to confirm the details with your bank.

Step 4: traceable resignations and category changes

Resignations are usually the most neglected process. They arrive by email, by phone or in person, and are sometimes not recorded in time, which leads to undue charges and disputes.

With digital member management, the resignation request is submitted through the app or a form, the exact date is recorded and the conditions in the statutes are applied automatically: notice period, final fee, return of cards or keys and deactivation of access.

It is also worth using the resignation to ask why. A short exit questionnaire provides very valuable information for reducing future departures. The same applies to temporary suspensions, leaves of absence and age-related category changes.

Step 5: segmented communication with members

The notice board and mass emails to the whole database are no longer enough. Modern member management lets you segment: messages only for members of one category, for parents of academy students, for players within a certain handicap range or for those who have not booked in the last month.

The usual channels are app notifications, email and messaging. What matters is respecting each member’s preferences and consents, and measuring which messages work.

Step 6: indicators to steer member management

Once processes are digitised, the club has reliable data for the first time. These are the indicators we recommend tracking:

Bringing them into a dashboard lets you anticipate: if a group of members stops booking, it is an early warning of possible resignations. In Total Management, the Data module brings these member management indicators together in shared reports for management. We discuss this in our guide to the KPI dashboard for golf clubs.

Common mistakes when digitising member management

The first mistake is moving paper onto a screen without changing anything: a fillable PDF that someone then retypes into another program is not digitisation. The second is switching on every module at once and overwhelming the team in high season.

We also often see the member being forgotten. If nobody explains how to access the app or where to check receipts, members will keep calling the office and the workload will not fall.

The member record, connected with the course, restaurant and academy

Member management does not end in administration. Members play, eat at the club, enrol their children in the academy and take part in tournaments, and each of these activities should feed their record without anyone having to copy data.

In Total Management, the Management module acts as the core and shares the same record with the rest of the ecosystem:

The result is member management with a single version of the truth and less double entry.

Frequently asked questions about member management

What do you need to digitise member management? Software that integrates records, fees, access and communication, clean starting data and an implementation plan with training for the administrative team.

Will older members accept the change? They usually do if an in-person service channel is kept during the transition and the practical benefit, such as checking receipts or booking without calling, is clearly explained.

How does GDPR affect member management? It requires clear consents, access to data limited according to each role and guaranteed security. For specific questions, it is best to consult a specialist adviser.

Total Management turns member management into a digital process from start to finish: joining, a single record, fees, resignations, communication and indicators on one platform, connected with the course, the restaurant and the academy. NGM develops it and implements it with you, in phases and supporting your team. If you want to see how it would fit your club, discover Total Management and we will walk you through it with no obligation.
